Job Title: Construction Project Coordinator
Location: Boca Raton, FL / Hybrid-Remote Employment Type: Full-Time Compensation: $40-55k depending on experience
Position Summary
A boutique single-family residential home builder seeking a highly disciplined and independent Project Coordinator/Administrative Assistant. This role is responsible for the administrative management of all construction projects, focusing on compliance, financial organization, and permit tracking. The ideal candidate is a self-starter capable of managing high-priority tasks with minimal supervision in a flexible, remote-capable environment.
Core Responsibilities
Compliance Management: Maintain current Certificates of Insurance (COI) for all subcontractors; verify coverage limits and expiration dates to ensure continuous project compliance.
Permit Administration: Manage the end-to-end permitting process for South Florida municipalities; monitor application statuses and ensure all renewals are processed ahead of expiration.
Financial Record-Keeping: Systematically organize project invoices and payment records; perform reconciliations to ensure accuracy in vendor and subcontractor accounts.
Document Control: Establish and maintain comprehensive digital project files, including contracts, lien waivers, and site documentation.
Notary Services: Execute and notarize legal documents and contracts (preferred).
Qualifications
Experience: No experience needed, but must be willing to learn in person. 2–4 years of administrative experience within the South Florida residential construction industry preferred.
Technical Skills: Proficiency in Microsoft Office Suite
Licensure: Active Florida Notary Public commission is highly preferred.
Competencies: Proven ability to work independently; strong understanding of Florida lien laws and municipal building department requirements, willingness to learn
Work Environment
This position offers work-from-home flexibility. Candidates must demonstrate a high level of professional accountability and the ability to meet strict project deadlines without daily direct oversight. Training for those without experience will occur in person.
