Position Description:

 

One (1) Permanent- Exempt, Full Time, Full Year 260 days position. Permanent-Exempt. Exempt employees are considered "at will" and serve at the discretion of the appointing officer.


 

This position is grant-funded and is funded on a yearly basis. Hours are subject to change after appointment dependent upon grant status.

 

Under general direction, the 1488 TIA-Evaluation Technician will coordinate Admissions & Records noncredit enrollment matters. Essential functions include but are not limited to: assisting with coordination and dissemination of admissions, registrations and records information to other college offices, departments and outside agencies; assisting with a variety of Admissions & Records processes for the purpose of providing communication and documentation in support of departmental functions; certifying records for the purpose of determining admissions qualifications; collaborating with personnel for the purpose of resolving matters concerning enrollment and prerequisites. The incumbent will research, compile and organize data for reports and correspondence; fulfill student equity for access to closing the equity gap among students, particularly identified equity populations, and facilitate successful enrollment.

 

NOTE: THIS POSITION IS NOT A REMOTE WORK POSITION AND REQUIRES AN OFFICE PRESENCE.

 

Job Duties:

 

Please note the duties specified below are representative of the range of duties assigned to the 1488 TIA - Evaluation Technician class code and not intended to be an inclusive list.


 

Essential Functions: 1. Analyzes data (e.g. gathering, compiling data for reports, utilizing word processing and statistical techniques, etc.) for the purpose of ensuring adequate and accurate evaluation of student processes.

 

2. Assists with a variety of Admissions and Records processes (not in A&R) for the purpose of providing necessary communication and accurate documentation in support of departmental functions.

 

3. Certifies records (not in A&R) (e.g. concurrently enrolled high school applicants, etc.) for the purpose of determining qualifications applicants for admission.

 

4. Collaborates with a variety of personnel (not in A&R) (e.g. counseling, matriculation, Admissions and Records, etc.) for the purpose of resolving matters concerning enrollment and prerequisites.

 

5. Conducts presentations and workshops for the purpose of providing necessary training and Outreach information.

 

6. Coordinates processes (e.g. IT personnel, Printer Server, Windows Operating System, Computer Lab, etc.) for the purpose of maintaining optimal operation.

 

7. Implements services (e.g. matriculation, enrollment, counseling, scholarships, book loans, etc.) for the purpose of ensuring support and accuracy for incoming students.

 

8. Interprets department and program requirements (e.g. application evaluation from concurrently enrolled high school students, etc.) for the purpose of ensuring compliance with college matriculation regulations.

 

9. Maintains a variety of student files and records (e.g. probation holds, name changes, academic records, social security changes, book holds, etc.) for the purpose of ensuring the availability of documentation and compliance with established student privacy policies and regulatory guidelines.

 

10. Manages office (e.g. department, clerical and technical support activities including inventory control, invoices, budget procedures, statements, building security, maintenance and facilities management, supervises student workers and/or volunteers, payroll, etc.) for the purpose of implementing programs and processes for efficient daily operation.

 

11. Participates in meetings, in-service training, workshops, etc. for the purpose of conveying and gathering information required to perform job functions.

 

12. Provides services (e.g. requisitions, budget, event planning, office management, data analysis, ordering supplies, etc.) for the purpose of implementing necessary processes for effective Outreach.

 

13. Responds to inquiries from a variety of sources (e.g. faculty, staff, administrators, federal and state agencies, prospective and current students, etc.) for the purpose of facilitating communication and providing guidance.

 

14. Reviews student academic records (e.g. prerequisite challenges and delayed determinations, course repeats, petitions for late add/drop, etc.) for the purpose of ensuring accurate evaluation of admissions and matriculation records processes, in compliance with policies and regulatory guidelines.

 

15. Serves as official evaluation technician for the purpose of providing necessary leadership and ensuring implementation of necessary processes for special student populations.

 

16. Serves as liaison for the coordination of various activities of admissions, matriculation, and registration for the purpose of providing support and communication for Registration and matriculation processes.

 

17. Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the department.

 

Minimum Qualifications:

 

A BS/BA degree

OR

AA/AS degree AND two years (4000 hours) of relevant paid experience in a Registration or Admissions and Records Office.

OR

Four (4) years (8000 hours) of relevant experience in a Registration, Admissions and Records Office or Student Services, preferably in a college setting.

 

Note: College Work Study and Student Lab Aide experience with the District will be considered/ applied as qualifying experience per an agreement made between the District and SEIU. This agreement will allow District students to take advantage of employment opportunities.

 

Desirable Qualifications:

 

1. Knowledge of Banner applications.2. Ability to communicate clearly and effectively in written and oral form.3. Ability to deal effectively with students, faculty, administrators, and the general public.4. Ability to troubleshoot and resolve difficult situations5. Ability to anticipate problems and resolve them in a timely manner.6. Good organizational skills.7. Willingness to work extended hours when required.8. Experience working in a college or other educational environment.9. Skills to handle and perform under pressure.

 

Benefits:

 

1. New employees hired on or after October 1, 2013 will contribute 2% of salary to the San Francisco Retiree Health Care Trust Fund (RHCTF).2. Additional Days Off with Pay. As stipulated in the appropriate bargaining agreements and board resolutions, Classified employees working full year (260 days/year) work schedules are granted, as paid days off, the days between Christmas and New Year’s Day, as well as an additional five (5) paid days off during spring break. Eligible school-term-only (STO) employees who are not scheduled to work the designated days between Christmas and New Year’s Day shall be granted three (3) paid days off to be scheduled by mutual agreements between the employee and supervisor. Eligible school-term-only (STO) employees who are not scheduled to work the days designated as Spring Break will not be paid for these days off.
