Executive Assistant
- Work directly with the ED to support all aspects of daily work routine.
- Serve as a liaison between the ED and the community. This includes receiving and screening the ED’s phone calls and visitors, answering a variety of questions with tact and diplomacy, taking messages, and directing calls appropriately to staff for resolution.
- Coordinate work with other ASAP of Anderson staff as needed
- Book travel arrangements for conferences and training including in state and out of state. (ie. hotel, flights, car service, registrations, etc.)
- Technical onboarding of new employees including drug screenings, scheduling IT set-ip, HR/ benefits, etc.
- Assist in ASAP activities and processes including project planning, prioritization, initiation, execution, and training; as well as fostering collaboration of key stakeholders.
- Maintain and distribute the ASAP Newsletter
- Assist the ED in the development of presentations and print materials for internal and external audiences.
- Keep the ED advised of time-sensitive and priority issues, ensuring appropriate follow-up.
- Perform a wide variety of support duties. (including but not limited to purchasing and accounts payable)
- Input grant and community data
- Handle printing, faxing, mail/overnight packages, copying, filing, and email/messages.
- Sort and triage mail; maintain e-mail and other address directories and event attendance.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate.
- Maintain paper and electronic filing systems using standard naming conventions.
- Maintain confidential and sensitive information.
- Complete a variety of special projects including creating PowerPoint presentations, special reports, and agenda material.
- Other additional and/or alternative duties as assigned from time to time, including supporting prevention coordinators as needed.
