General Description:

The Office of the Vice Provost for Student Success looks to hire a Student Coordinator to lead new initiatives and projects to achieve measured outcomes. 

The Division of Student Success (DSS) is here to help you maximize your individual strengths and understand how your strengths contribute to your academic dreams, career paths, and personal well-being. DSS serves student scholars through the following departments and functions: Academic Success Center, Advising Initiatives (campus-wide), Center for Career Development & Academic Exploration, First-Generation Initiatives, First-Year Experience, University Honors, Undergraduate Research & Fellowships, Veterans Success Center.

Duties and Responsibilities:

The Student Coordinator is responsible for the following:

  1. Administrative Support:
    • Assist departmental staff with general administrative tasks, including photocopying, filing, and data entry.
    • Manage and respond to routine correspondence, emails, and phone calls.

       
  2. Customer Service:
    • Provide excellent customer service to students, faculty, and staff who visit or contact the department.
    • Serve as a point of contact for inquiries and direct individuals to the appropriate resources.

       
  3. Event Coordination:
    • Support the planning and execution of departmental events, workshops, and meetings.
    • Assist in coordinating logistics, preparing materials, and ensuring smooth event operations.

       
  4. Data Entry and Maintenance:
    • Enter and update data in departmental databases, spreadsheets, and filing systems.
    • Help maintain accurate and organized records related to departmental activities.

       
  5. Communication Assistance:
    • Draft, proofread, and edit departmental communications, including emails, newsletters, and announcements.
    • Assist in photographing special events.

       
  6. Research Support:
    • Conduct research on relevant topics as assigned by departmental staff.
    • Compile and summarize information to support ongoing projects and initiatives.

       
  7. Technology Assistance:
    • Provide basic technical support for departmental equipment, software, and online platforms.
    • Assist with troubleshooting common technology-related issues

 

8.    Meeting Support:

  • Assist with preparing meeting materials, such as agendas, materials, and minutes as needed.
  • Attend and assist with meetings, taking notes and following up on action items.   

         
9. Collaboration with Team Members:

  • Collaborate with other student assistants and departmental staff to achieve common goals.
  • Participate in team meetings and contribute ideas for improving departmental processes.


     
Note: This list of duties is not exhaustive, and additional responsibilities may be assigned based on the department's needs.

This position reports to the Administrative Coordinator within the Office of the Vice Provost for Student Success and works closely with the Chief of Staff.

 

Qualifications:

  • Must be an enrolled at the University of Tennessee, Knoxville
  • Proactive in taking initiative and presents in a professional manner
  • Demonstrated success at leading new initiatives and projects to achieve measured outcomes
  • Aptness to manage strategic stakeholder communication and outreach efforts
  • Exceptional verbal and written communication skills
  • Ability to collaborate, listen, create and build consensus around new ideas
  • Capacity to assist in change management
  • Highly organized and detail oriented

Expectations:

  • Ability to collaborate with supervisor to define objectives, priorities, and deadlines
  • Ability to carry out work activities independently as needed
  • Customer service driven attitude and approach to project work and relationship building
  • Arrive at each shift on time and inform supervisor in a timely manner if issues arise that prevent arriving when scheduled to work
  • Have excellent interpersonal skills
  • Keep sensitive information confidential as necessary – willing to sign a confidentiality agreement, along with a code of conduct
  • Professionalism is required; Business casual attire required, behave in a professional manner and adhere to all University policies
  • Able to work an average of 10-20 hours per week in-person, M-F between 8:00 a.m. and 5:00 p.m. May be needed for event assistance that takes place outside of normal business hours.
  • Must find a “task” or other related research opportunity pertaining to the position that is completed and submitted to supervisor at the end of the semester.
  • Maintain a semester and cumulative GPA of at least 2.75

 

Additional Information:

  • This position is paid an hourly rate of $13/hour and is paid bi-weekly
