Title: Marketing and Operations Coordinator
Compensation: $40,000- $45,000 annually
Classification: Full-time, non-exempt
Reports to: Executive Director
JOB SUMMARY
The Marketing & Administrative Coordinator plays a vital role in promoting our organization's mission while ensuring the smooth day-to-day operation of our office. This position combines creativity, strategic marketing, customer service, and administrative support to increase community awareness, strengthen our brand, and provide exceptional service to students, families, staff, and community partners.
KEY RESPONSIBILITIES
MARKETING & COMMUNITY ENGAGEMENT
- Develop, implement, and continually evaluate the organization's comprehensive marketing plan.
- Manage all social media platforms, including creating engaging content, scheduling posts, monitoring engagement, and responding as appropriate.
- Create and distribute monthly newsletters to families, donors, community partners, and stakeholders.
- Design professional marketing materials including:
- Flyers
- Brochures
- Advertisements
- Event materials
- Digital graphics
- Promotional pieces
- Coordinate with media companies, videographers, photographers, and marketing vendors to produce:
- Commercials
- Promotional videos
- Digital advertising
- Other marketing products
- Manage and update the organization's website to ensure accurate, current, and engaging content.
- Identify and pursue opportunities to increase community awareness and visibility through partnerships, networking, sponsorships, community events, and outreach.
- Assist with planning, marketing, and promotion of fundraising events and special programs.
- Monitor marketing analytics and recommend strategies to improve engagement and outreach.
- Ensure organizational branding across all communication platforms.
ADMINISTRATIVE RESPONSIBILITIES
- Answer incoming telephone calls professionally and direct inquiries appropriately.
- Welcome and assist families, students, visitors, and community partners.
- Prepare, distribute, collect, and track all new client onboarding paperwork.
- Maintain accurate student attendance records for billing purposes.
- Perform data entry and maintain accurate client and organizational records.
- Assist with light accounts receivable and accounts payable functions.
- Track and maintain staff time records.
- Coordinate new employee onboarding paperwork, background checks, and personnel documentation.
- Order, organize, and maintain office supplies and equipment.
- Assist in maintaining an organized, welcoming, and professional office environment.
- Interact positively with students during breaks and throughout the day while maintaining appropriate supervision and professionalism.
- Provide general administrative support to leadership and staff as needed.
ADDITIONAL RESPONSIBILITIES –may include but are not limited to
- Attend and actively participate in weekly staff meetings.
- Attend and assist with all organizational fundraising events.
- Represent the organization professionally in the community.
- Maintain confidentiality regarding student, donor, and employee information.
- Support the organization's mission, vision, and values.
- Perform other duties as assigned.
QUALIFICATIONS
- Required
- Associate's degree in Marketing, Communications, Business Administration, or related field, or equivalent professional experience.
- Experience in marketing, communications, administrative support, or office management.
- Excellent written and verbal communication skills.
- Strong organizational and time management abilities.
- Ability to manage multiple priorities and meet deadlines.
- Strong customer service and interpersonal skills.
- High attention to detail and accuracy.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
- Experience using Canva and similar graphic design software.
- Experience managing social media platforms for an organization or business.
- Preferred
- Bachelor's degree in Marketing, Communications, Business, or related field.
- Experience with website management (Squarespace, WordPress, and or other management systems).
- Experience with email marketing platforms (Mailchimp, Constant Contact, etc.).
- Photography or videography experience.
- Knowledge of nonprofit marketing and fundraising.

Physical Requirements
- Ability to sit or stand for extended periods.
- Ability to lift up to 25 pounds.
- Ability to move throughout the office and event spaces.
- Ability to use standard office equipment, including computers, telephones, printers, and copiers.
WORK SCHEDULE
This is a full-time position. Occasional evening or weekend hours may be required for fundraising events, community outreach activities, or special organizational events.
