DUTIES:
Maintains confidentiality of all matters under the purview of the Deputy Commissioner. Provides administrative support to the Deputy Commissioner to ensure that the various sections run smoothly and efficiently. Demonstrates exceptional organizational skills and can multi-task.
Maintains Deputy Commissioner’s calendar and schedules appointments, meeting rooms and makes other logistical arrangements. Screens visitors and telephone calls; takes messages and uses judgment in forwarding calls to appropriate personnel for response and resolution.
Demonstrates the ability to use MS Word and Excel and other office software programs. Works on special projects under the direction of the Deputy Commissioner.
Prepares and Submits all Travel Request for CDA. Provides training to all Staff Assistants, AAIII’s, Project Admins and anyone who doesn’t have an Assistant on the Travel Policy and Procedure.
Liaison between CDA and OBM for Travel Approval. Coordinates with OBM for review and approval of travel. Prepares APRF (Funding Requisitions) for travel related expenses. Prepares reports on travel status and expenses to date.
Oversees mailroom administrative functions. Communicates with every section at CDA including contractors regarding mail packages being sent to the mailroom from inside and outside sources.
Prepare all-purpose requisition forms (APRF) In FMS system for the FedEx and Pitney Bowes mail services. Obtains all FedEx billing slips and reviews to ensure expenses are legitimate business expenses. Keeps a daily log sheet of all outgoing mail, Prints reports daily for all USPS mail postage. Reviews all FedEx Invoices. Prints Pitney Bowe reports from the mailing machine, reviews each package sent out and lists the invoice. Performs other related duties as required.

HOURS: 8:30am - 4:30pm
DAYS: Monday - Friday

MINIMUM QUALIFICATIONS
Graduation from an accredited college or university with a Bachelor's degree in Business Administration, Public Administration or a related field, supplemented by one year of administrative experience, or an equivalent combination of training and experience.

SELECTION REQUIREMENTS
This position requires applicants to PASS a skills assessment/written test IN ORDER to be interviewed. At the time of the interview there will be a written communication skills assessment exercise. The interviewed Bidders who possess the qualifications best suited to fulfill the responsibilities of the position will be selected by SENIORITY order and according to the CBA rules.
Preference will be given to candidates possessing the following:
Previous work experience as a Staff Assistant or a similar role to a Senior Manager or a group of professionals.
Proficiency Level in MS office suite

Residency Requirement: All employees of the City of Chicago must be actual residents of the City as outlined in 2-152-050 of the City of Chicago Municipal Code. Proof of residency will be required.
