PAY AND BENEFITS

 

Annual Pay Range: $51,455.06 - $64,989.13

 

Hourly Pay Range: $26.387212 - $33.327760

 

Salary offers will be made within the posted pay range and will be based on a candidate's experience (paid or unpaid) that is directly relevant to the position.

JOB DETAILS AND QUALIFICATIONS

 

Clackamas County's Social Services Division is seeking an organized administrative professional to join their team as an Administrative Specialist 1. The position will work within the Social Services Division's Administrative Support Team, providing management and administrative support to managers, supervisors, the division director, and to the internal administrative contracts workgroup.

 

The primary responsibilities in this Administrative Specialist 1 position include: reviewing and processing payment requests, invoices, claims, and vouchers; supporting the processing of agreements for signatures, documentation, and submission; entering applications, agreements, and amendments into a contracts database and tracking systems; and providing backup and support to the Social Services Division's Administration Support Team as needed.

 

This is a great opportunity for an administrative professional looking to build upon their administrative and office management skills while contributing to a service-oriented team.

 

Required Minimum Qualifications/ Transferrable Skills:*

 

• A minimum of one (1) year of relevant experience that would provide the required knowledge and skills to perform the responsibilities of this position

• A minimum of one (1) year of experience providing services to customers in a positive and timely manner, both in person and over the phone

• Experience reviewing and processing payments, invoices, claims, and/or vouchers for accuracy and completion of documentation

• Experience tracking and maintaining data within multiple databases and systems

• Effective communication, both orally and in writing, with a variety of persons with diverse backgrounds

• Proficiency and skill in Microsoft Office Suite (Outlook, Word, Excel, etc.) and database programs

• Must pass a criminal history check which may include national or state fingerprint records check

• Driving is required for County business on a regular basis or to accomplish work. • Basic bookkeeping skills including tracking payments to deposits

• Experience with HMIS (Homeless Management Information System), Service Point, or similar system in tracking client-level detail for grant funding requirements

• Experience working in a grant-funded human services and/or social services program environment

• Provide back up and support to the Office Administration Team as needed, including answering phones, covering breaks or other general office support tasks. Provide back up to Accounting Specialist 1 to process petty cash requests or complete deposits.

• Assist with Homeless Management Information System (HMIS/Service Point) data entry and reporting to funders for housing programs, including inclement weather shelter activities. Including tracking forms, reviewing for completeness, corresponding with providers to obtain complete data, and working with staff to review and troubleshoot errors. Assist with producing reports for Annual Performance Report (APR) and quarterly reports.
