Position Summary:
The Office Assistant provides essential administrative and clerical support to ensure the efficient operation of the accounting department. This role involves handling various tasks, from managing communications to facility maintenance and organization and supporting the team.
* After successfully completing 3 months of employment, the probationary period ends.
Established in 1999, Allele Biotechnology has focused on developing and adapting cutting edge technology for clinical and therapeutic use. Over the years, Allele has worked on biological advancements that have been at the forefront of molecular biology research, including RNA interference (RNAi), Fluorescent Proteins, Induced Pluripotent Stem Cells (iPSCs), Genome Editing, camelid derived Single Domain Antibodies, and AI-based Diagnostics. In 2015 Allele established an 18,000 square foot state-of- the-art cGMP facility in San Diego to further the clinical development of iPSC-based cell therapy.
Key Responsibilities:

Administrative Support:
- Data entry in QuickBooks Online; enter bills, create invoices, credit memos, etc.
- Monitor accounting email daily.
- Assist in the preparation of reports, presentations, and correspondence.

Document Management:
- Organize and maintain files, both electronic and physical.
- Handle data entry and update records in company systems.
- Ensure confidentiality of sensitive information.

Office Operations:
- Facility maintenance at both locations; 6404 and 6868.
- Coordinate with vendors and service providers.
- Maintain organization of the office environment.

Team Support:
- Assist colleagues with administrative tasks and projects.
- Check mailbox and distribute mail to appropriate contacts.
Qualifications:
- High school diploma or equivalent (associate or bachelor’s degree preferred).
- Proven experience in an administrative or office assistant role.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Strong organizational skills and attention to detail.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize effectively in a fast-paced environment.
Preferred Skills:
- Basic bookkeeping or accounting knowledge.
- Experience with QuickBooks online.
- Basic understanding of scientific, biomedical terminology and industry standards.
- Understanding of building and waste management, safety and regulatory affairs.
Work Environment:
- Professional biotechnology and pharmaceutical office setting.
- Occasional lifting of office supplies or materials (up to 25 pounds).
- Flexible schedule may be required for specific tasks.
